2. Acceptance of Terms

By accessing and using this website, or by requesting a quote or placing an order, you confirm that you have read, understood, and accepted these Terms and Conditions. If you do not agree to these terms, please do not use the website or place orders through it.

3. Purpose of the Information on the Website

The information, materials, and opinions published on this website or conveyed in our general communications are for informational purposes only. They do not constitute legal, notarial, or other types of personalized professional advice and should not be considered a substitute for specific recommendations tailored to your situation.

Although we make reasonable efforts to update the content, we do not guarantee that all information published on the website is complete, current, or suitable for any particular purpose. We may modify or update the website’s content without prior notice.

4. Services Offered and Limitation of Our Role

We offer translation services, certified and/or authorized translations, as applicable, administrative assistance for apostille/legalisation, document drafting (including powers of attorney, authorizations, and declarations), and administrative assistance regarding documents used in dealings with authorities in the UK or Romania, including for certain consular formalities and document transcription. The website content indicates that these services are presented as services for the UK, apostille, powers of attorney/declarations, and document transcription.

We are not Notary Publics in England and Wales and do not offer notarial services, notarial authentications, or notarial deeds. In England and Wales, notary public is a separate profession, and solicitors who are not also notaries are not authorized to perform notarial acts. If a document requires notarial authentication, signature certification, apostille, or consular formalities, our role is limited to drafting the document and, where appropriate, referring you to the appropriate notary public, solicitor, authority, or consular section.

We draft documents primarily for use in the UK. Upon request, we also prepare documents intended for use in Romania, in accordance with the requirements of the relevant authority, institution, notary, or consular office. Final acceptance of any document rests solely with the institution, authority, court, consulate, notary, solicitor, or third party requesting that document.

5. Contract Formation and Order Placement

Submitting a request via form, email, phone, or WhatsApp does not, in and of itself, constitute acceptance of the order. Typically, the process is as follows:

  • You send us the documents and requirements;
  • We send you a price quote and, if applicable, the estimated completion time;
  • The order is considered accepted after our written confirmation and/or after payment is received, in accordance with the quote provided;
  • Service execution begins after confirmation, unless we agree otherwise in writing.

We reserve the right to refuse an order, including when documents are illegible, incomplete, contain indications of fraud, requirements are unclear, the requested service falls outside our area of expertise, or its execution would violate the law or our professional obligations.

6. Client’s Obligations

The client is obligated to:

  • provide clear, complete, and authentic documents;
  • inform us of the purpose for which the document will be used and the authority/institution where it is to be submitted, if this information is relevant to the form of the translation or drafting;
  • verify the names, dates, transliterations, series, numbers, and other details in the source document before placing the order;
  • notify us in advance of any special requirements regarding certification, format, number of copies, apostille, certified copy, statement of truth, consular requirements, or requirements of a specific institution;
  • have the right to provide us with documents and personal data of third parties when requesting services on their behalf.

We are not liable for delays, additional costs, or refusals resulting from incomplete, illegible, incorrect, or documents submitted without relevant instructions.

7. Translation Services

Our translations are based on the documents provided by the client and reflect the content of the source document. We do not alter the meaning of the original document and are not liable for any errors, omissions, or inaccuracies in the source document.

Unless otherwise agreed in writing, the translation service includes only the translation and the form of certification specified in the quote provided. Any additional requirements — such as notarization, a statement of truth, apostille, certified copies, consular legalisation, submission to an institution, or additional paperwork — are charged separately or require separate confirmation.

For documents intended for UK institutions, the translation must comply with the requirements of the receiving authority. For example, the Home Office requires that documents not in English or Welsh be accompanied by a complete, independently verifiable translation that includes a statement of accuracy, the date, the name and signature of the translator or translation company, and contact details. For this reason, we do not guarantee that a translation will be accepted by a specific institution unless it complies with the requirements communicated to us and the rules applicable at the time of submission.

The client is obligated to promptly review the received translation and notify us of any material errors within a reasonable timeframe. We will correct translation or drafting errors attributable to us at no additional cost. Subsequent changes requested to modify the initial instructions, stylistic preferences, rewordings, or additions to the documents originally submitted may be subject to additional charges.

8. Drafting of Powers of Attorney, Authorizations, and Declarations

At the client’s request, we can draft powers of attorney, authorizations, declarations, and other similar documents based on the information and instructions received from the client. The client is responsible for the accuracy of the facts, data, and instructions provided.

Our drafting of a document does not constitute a full legal review of the underlying facts and does not constitute individualized legal advice. When the validity or use of the document depends on its signing before a notary public, attorney, authorized witness, or consular official, this step is not performed by us and remains the responsibility of the client and the competent authority or professional.

9. Apostille and Legalisation Assistance

We can provide administrative assistance regarding obtaining an apostille for certain documents. The apostille is issued by the Legalisation Office within the Foreign, Commonwealth & Development Office (FCDO), not by our company. We can facilitate the transmission of documents, track the process, and arrange for their return, but we have no control over the authority’s decision, official fees, eligibility requirements, or processing times of authorities or couriers.

Any deadlines communicated for apostille, legalisation, courier services, consular appointments, or administrative processing are estimates. We are not liable for delays caused by authorities, institutions, postal services, couriers, or other third parties, except in cases where the delay is directly caused by our fault.

Official fees, courier fees, consular fees, and any other third-party costs may be billed separately or included separately in the quote, as applicable.

10. Assistance with Document Use and Consular Formalities

Our information and services regarding the use of documents, submission of documents to the consulate, or the use of documents in Romania are of an administrative and advisory nature. The requirements of consulates, civil registry offices, courts, and other authorities may change, and the final decision rests exclusively with the competent institution.

It is the client’s responsibility to verify, prior to submission, the updated list of documents and the conditions imposed by the authority to which the documents will be submitted. Upon request, we can assist in preparing the documents; however, we do not guarantee appointments, approvals, the issuance of final documents, or a favorable outcome of an administrative procedure.

11. Prices and Payment

Prices are provided individually in the quote, depending on the type of document, language combination, complexity, urgency, number of pages/copies, delivery method, and any additional services requested.

Unless otherwise agreed in writing:

  • payment is made in advance, in full;
  • commencement of work may be contingent upon confirmation of payment;
  • additional services requested after the initial offer may be billed separately.

We reserve the right to correct obvious errors in pricing or description appearing on the website or in a quote, prior to final acceptance of the order.

12. Delivery, Original Documents, and Courier Services

Final documents may be delivered electronically via email or other agreed-upon electronic means, or in physical format via mail, courier, or in-person pickup/drop-off at our office, as applicable.

When sending us original documents, please use secure and trackable shipping methods. We will take reasonable measures to safeguard and return the documents received, but we are not liable for delays, losses, or damage caused by postal or courier services, except in cases where these are directly attributable to our fault.

For documents delivered electronically, the customer is responsible for verifying receipt and promptly informing us if they have not been received.

13. Right of Withdrawal, Cancellation, and Refunds

If you are a consumer and the contract is concluded remotely or off‑premises, you are entitled to a 14‑day legal right of withdrawal, subject to the conditions provided by law. However, for services provided at the customer’s express request prior to the expiration of this period, we may begin fulfilling the order immediately after confirmation and payment.

By requesting prompt commencement of work, you agree that we may begin providing services before the expiration of the statutory withdrawal period. To the extent permitted by law:

  • if you cancel the order after work has begun, we may retain or invoice you for the value of the services already provided up to the date of cancellation;
  • if the service has been fully performed, the right of withdrawal may cease;
  • for custom, urgent, or services performed based on specific client instructions, refunds may be limited or excluded, to the extent permitted by law and depending on the stage of order fulfilment.

Any request for cancellation or refund will be considered on a case‑by‑case basis, taking into account the nature of the service, the stage of the work, and costs already incurred. The general rules regarding distance contracts and the right of withdrawal are set out in the Consumer Contracts Regulations 2013.

14. Liability

To the extent permitted by law, Translation Services-UK Ltd excludes liability for indirect losses, loss of opportunity, delays caused by third parties, or the refusal of an authority to accept a document, provided that the service we provided was in accordance with the instructions received and the accepted quote.

We do not exclude or limit liability in cases where the law does not permit such exclusion or limitation.

The client uses the information on the website at their own risk. The website is provided “as is,” and continuous, uninterrupted, and error‑free availability is not guaranteed.

15. Permitted Use of the Website

You are not permitted to use the website:

  • to transmit illegal, false, defamatory, obscene, abusive, or harmful materials;
  • to upload or transmit viruses, malware, or other harmful technical materials;
  • to attempt unauthorized access to the website, servers, accounts, databases, or other systems;
  • to copy, reproduce, extract, or substantially reuse the content of the website without our prior consent.

18. Personal Data and Marketing

We process the personal data you provide to us to respond to requests, prepare offers, provide the requested services, manage the contractual relationship, maintain internal records, ensure legal compliance, and, where applicable, for administrative communications regarding your order.

We will not use your data for electronic marketing except in accordance with applicable law. If we send promotional communications, we will do so only where we have an appropriate legal basis and will provide you with a clear way to unsubscribe or object.

When processing personal data, we will comply with applicable data protection laws, including the UK GDPR and the Data Protection Act 2018. Data subjects have legal rights, including the right of access, rectification, erasure, restriction, objection, and, where applicable, the right to lodge a complaint with the ICO. Typically, no fee is charged for an access request, subject to the exceptions provided by law. For full details regarding data categories, legal bases, retention periods, recipients, and data subjects’ rights, we recommend reviewing a separate Privacy Policy.
